The Endress+Hauser Group now uses the aconso Jedermann File to overcome a sea of paperwork. By using this portal solution, company employees now have round-the-clock access to their salary statements from any location, eliminating the need for the HR department to send them out by post (a time-consuming and costly routine).
Since 2016, employees at two of the group’s companies have been receiving their pay slips, social insurance statements and annual income tax notices with the aid of the aconso Jedermann File via a secure electronic space – entirely in digital form. Around 850 employees are now benefiting from this modern HR service at the Sales Centre in Germany and at Endress+Hauser InfoServe GmbH.
Prior to this, HR employees had faced the monthly job of sending out individual statements by post. Despite using an enveloping machine, this largely manual task took at least one full working day – so automation was urgently needed. Endress+Hauser specified all their requirements for this digital solution in advance: alongside the secure transmission of data in the case of sensitive HR documents, there had to be smooth integration of the platform into the existing SAP landscape and a guarantee that employees could access their salary statements anywhere and anytime.
Alongside the security aspects, the ability to easily integrate into SAP, and extensive flexibility in use, aconso made a strong impact because of its long-term experience.
Whereas many companies use the Jedermann File as a public cloud solution, Endress+Hauser operate the portal in their own data centre in a private cloud.
In metaphorical terms, this functions like a ‘digital mailbox’: HR employees simply upload the salary statement to the portal. When loaded, the document goes into the secure personal area and the HR employee no longer has editing access to the document. To view their own personal data and documents, employees must first register themselves in the system and once authorisation is granted, the documents can be viewed and, if required, stored locally or printed out. The transmitted documents are deleted after two years.
The HR staff responsible at Endress+Hauser place great value on the time saved by eliminating the postal despatch of documents by hand. Statements are now controlled directly on the screen, a procedure which, after a short familiarisation period, is now running smoothly.
