Digital is not enough: HR services from a single source

More and more HR departments that are working on devising a digital workplace prefer software suppliers that are able to supply several HR services from a single source, as it ensures optimum integration of the various solutions. TÜV Rheinland is also taking this approach. With the Digital Personnel File, the attendant Scan Module, and the automatic Document Creation from aconso, the test center is implementing a new generation of digital HR Tools.

Project

With the new Digital Personnel File, employees in the HR department are now able to handle around 730,000 documents through a single dashboard – either from the office, when working from home, or with a mobile device. Any documents that are still required in paper form, such as contracts, which only become legally binding upon signature, can now be conveniently transferred into the system using the linked Scan Module. “aconso convinced us of its concept right from the start. The Digital Personnel File is, as it were, the centerpiece of the system, to which further HR service modules can be gradually added over time. Moving towards a Digital Workplace since 2007

With more than 10,000 people employed throughout Germany, paper documents were taking up more and more space. Not only that, but the documents were stored at non-central locations and managed on a variety of historically evolved systems. The company decided, as long as ten years ago, to transfer its personnel documents into an electronic personnel file from another provider. However, nearly ten years later, the electronic personnel file installed in 2007 was no longer state-of-the-art for the forward-looking company.

Personnel records are now available digitally at every one of our sites in Germany – and they can even be accessed from mobile devices, such as a smartphone or tablet.”

Digital Personnel File – a persuasive centerpiece

After the conclusion of the contractual negotiations, it took only about six months to attain smooth implementation of the aconso Digital Personnel File. In addition to the Digital Personnel File, TÜV Rheinland also decided to install the aconso Scan Module and the automatic Document Creation tool. TÜV Rheinland chose to operate the solution in a private Cloud at its own data centre in Cologne. “Once we have implemented automatic document generation, we will have almost reached the stage of having a completely paperless office”, says Wolfgang Thomaschitz.

For this reason, one of the next projects for TÜV Rheinland is the digital signature. The Reference Letter Generator, Contract Database and Process Management System are also under consideration. For TÜV Rheinland, an efficient digital workplace with no media discontinuities is now on the horizon.
